Privacy Policy

This policy explains what information Corwen Systems LLC ("we", "us") collects, why we collect it, and what we do with it. It covers this website and the services we provide to clients.
Information we collect
- Information you give us. Your name, business name, email address, phone number and anything else you send when you contact us or engage our services.
- Client business information. During an audit or build we may be given access to your systems, documents, customer records and operational data so that we can do the work.
- Payment information. Card payments are processed by our payment provider. We receive confirmation of payment and the last four digits of the card. We never see or store full card numbers.
- Website usage. Basic technical information such as pages visited, referring site, browser type and approximate location, collected in aggregate.
How we use it
We use this information to respond to enquiries, deliver the services you have engaged us for, issue invoices and process payments, provide support, meet our legal and tax obligations, and improve how the website works. We do not sell your information, and we do not share it with anyone for their own marketing.
Who we share it with
We share information only with service providers who help us operate, and only to the extent they need it. These include our payment processor, our email and file storage providers, and the automation platforms used to deliver your project. We may also disclose information where the law requires it. Anyone on our team with access to client data is bound by confidentiality obligations.
Client data during a project
Where a project requires access to your systems, we use accounts you provision for us and we ask for the minimum level of access the work needs. You can revoke that access at any time. At the end of an engagement we will, on request, delete any copies of your business data we hold, other than what we are required to retain for legal or accounting purposes.
How long we keep it
Enquiry correspondence is kept for up to two years. Client project records, contracts and invoices are kept for seven years to meet accounting and tax requirements. Website analytics are kept in aggregate form only.
Security
We use access controls, encrypted storage and multi-factor authentication on the accounts that hold client information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable measures appropriate to the sensitivity of the information involved.
Your rights
You can ask us what personal information we hold about you, ask us to correct it, ask us to delete it, or ask us to stop sending you marketing email. Depending on where you live you may have additional rights under laws such as the Colorado Privacy Act, the California Consumer Privacy Act, or the GDPR. Send any request to talha@corwensystems.com and we will respond within thirty days. We will not treat you differently for exercising these rights.
Cookies
This website uses only the cookies necessary for it to function and to understand aggregate traffic. We do not use advertising or cross-site tracking cookies. You can block cookies in your browser settings, though parts of the site may not work as intended.
Children
Our services are sold to businesses. We do not knowingly collect personal information from anyone under the age of eighteen.
Changes
If we change this policy we will post the updated version here with a revised date. Where a change is material we will tell active clients by email.
